What the AI Copilot Does
The FlexotiumPOS AI Copilot is an intelligent assistant that can answer questions about your business, surface patterns you might miss, and recommend actions. It reads your live transaction data, inventory levels, and purchasing history — so its answers are specific to your operation, not generic advice.
Accessing the Copilot
Click the AI icon in the main navigation bar (or press Ctrl+K / Cmd+K). The copilot panel slides open alongside your current screen. You can keep it open while navigating — it maintains context across your session.
Example Prompts to Try
Here are prompts that owners use most frequently:
Inventory questions:
- "Show me slow-moving products that haven't sold in 30 days"
- "Which products are below reorder point right now?"
- "What's my total inventory value at cost?"
Sales intelligence:
- "What's my busiest hour of the day this week?"
- "Which product has the highest margin this month?"
- "Compare my sales this week to the same week last year"
Supplier analysis:
- "Which supplier has the shortest average delivery time?"
- "Show me suppliers with invoices overdue by more than 7 days"
- "What's my total spend with each supplier this quarter?"
Operational alerts:
- "Are there any anomalies in today's transactions?"
- "Which cashier has the most voided transactions this week?"
- "What's my cash vs. card payment split today?"
Understanding Confidence Scores
Every AI response includes a confidence indicator — a coloured badge showing how certain the AI is about its answer:
- High (green) — based on clean, complete data with clear patterns
- Medium (amber) — reasonable inference but the data has gaps or the pattern is weak
- Low (red) — the AI is guessing; treat the answer as a prompt for investigation, not a decision
Low confidence doesn't mean the answer is wrong — it means you should verify before acting. A "Low" confidence reorder suggestion might be correct but the AI has only 3 days of sales data to base it on.
Giving Feedback
After each response, use the thumbs up / thumbs down buttons to rate the answer. Positive feedback reinforces the model; negative feedback (with an optional reason) helps improve future responses. Your feedback is aggregated across all FlexotiumPOS customers to improve the shared model.
Following Up
The Copilot remembers your conversation within a session. You can ask follow-up questions naturally:
"Show me slow-moving products" → [AI shows a list] → "Filter that to just beverages" → [AI refines the result]
Use the Clear Conversation button to start fresh if you want to change topics without the context from a previous question affecting the new answer.
Limitations to Know
The AI Copilot requires an internet connection. It is not available in offline mode. If your device loses connectivity, the copilot panel shows an offline indicator and queues your questions to send when connectivity is restored.
The copilot also cannot take actions on your behalf by default — it can recommend, but a human must confirm. This changes if you enable Automation Mode (covered in the Automations lesson).
