Guided Setup
The guided setup is designed for merchants who already have products, staff, and existing business processes to carry across. Plan for 30–60 minutes depending on your catalog size.
Step 1 — Configure your business profile
Go to Settings → Business Profile and complete:
- Business name and trading name
- Tax registration number (used on receipts and invoices)
- Default currency and locale
- Address and contact details
- Receipt header and footer text (logo upload available)
These details appear on every printed and digital receipt.
Step 2 — Import your product catalog
Rather than adding products one at a time, use the CSV bulk import. Download the product catalog template from Inventory → Products → Import → Download Template.
The required columns are: sku, name, category, unit_cost, unit_price, uom (unit of measure). Optional columns include barcode, description, reorder_level, and supplier_code.
Go to Inventory → Products → Import, upload your filled CSV, and review the validation summary before confirming.
Step 3 — Set up roles and staff
FlexotiumPOS has four built-in roles:

Invite staff via Settings → Staff → Invite. They receive an email link to set their password and are granted the role you selected.
Step 4 — Configure integrations
Before going live, connect at minimum:
- Stripe — for card payments (guide)
- Receipt printer — for thermal receipts (hardware guide)
Optional but recommended:
- WhatsApp — for automated shift summaries and low-stock alerts
- Accounting export — for daily reconciliation exports
Step 5 — Run a test day
Before opening to customers, run a practice shift end-to-end: open a shift, process three test sales (cash, card, and a refund), then close and reconcile the shift. This confirms your hardware, payment, and reporting are all working correctly.
